tdsbCREATES Project Facilitator: Job Description
Reporting to Prologue’s Executive Director and working collaboratively with the TDSB Arts Department, including the Program Coordinator for the Arts and Central Lead Teachers, and third party representatives of the program, the tdsbCREATES Project Facilitator will support all aspects of the tdsbCREATES project with a special focus on communication and coordination of mentorship and residency artists.
This position is part-time for 24 hours per week from August 28, 2023 to July 5, 2024. The contract salary is $25/hour with a maximum of 24 hours per week. Administration experience and strong budgeting skills are a requirement for the position.
Responsibilities Include:
- Coordinating outreach to new and emerging artists and providing individual or group information sessions, as necessary;
- Coordinating the hiring process for new artists joining the roster, including scheduling and communications to candidates;
- Collaborating with the TDSB Arts Department to hire artists to the tdsbCREATES roster;
- Coordinating the onboarding process for new artists, including the collection of Vulnerable Sector Screenings;
- Coordinating with the TDSB Arts Department to ensure all tdsbCREATES artists have Annual Offense Declarations on file each year;
- Collaborating with the TDSB Arts Department to review all mentorship applications and residency teacher forms and connect artists with classes based on requests and classroom needs;
- Ongoing support of artists throughout the project to ensure effective scheduling and collaborative relationships with teachers;
- Supporting the collection of artist mentorship and residency content for the tdsbCREATES website;
- Strengthening external social media presence of artist work in schools; working closely with the TDSB Arts Department and artists to support processes and procedures for ensuring a higher program profile;
- School and classroom visits during mentorship and residencies to provide on-going support for artists during the project;
- Collaborating with the TDSB Arts Department to coordinate professional development opportunities for artists participating in the project by sharing best practices, supporting classroom engagement, and strengthening relationships with educators;
- Assisting Prologue and the TDSB Arts Department with the planning of the Artist/Educator Residency Launch for all residency artists and teachers;
- Developing, distributing and managing artist evaluation process (survey, etc.) and implementation of deeper levels of evaluation related to artists’ tenure, previous experience and specific participation in the project (focus groups/one on one interviews, etc.);
- Liaise with the TDSB Arts Department and the Toronto Arts Council to compile information, write and submit the final report on the project to the Toronto Arts Council;
- Management of the project budget, including invoicing; with support and oversight from Prologue’s Executive Director and liaising with Prologue’s Financial Coordinator to ensure budget and spending is accurate and aligned.
- Assist the TDSB Arts Department with preparing for and supporting project events (e.g exhibition and showcase days, information sessions, virtual and/or in person);
- Other duties as assigned.
Requirements
- Minimum 2 years of experience in arts administration with strong organizational skills.
- Experience in budget creation, tracking and reporting is required.
- Strong writing and reporting skills.
- Excellent time management skills with a keen attention to detail
- Excellent interpersonal and communications skills.
- French language is an asset.
